Travel Information


 

Reimbursement Information:

NSF requires that ONLY  US carriers (airlines) are used to be eligible for travel reimbursement. Please make sure that you do not use non-us carriers.

The Primary PI/Co-PIs currently funded by IDM are required to submit a grant report. In addition, we request that one IDM Primary PI/Co-PI from each award registers and attends the workshop. If the funds are available, the workshop will pay the expenses of another Co-PI. Additional Co-PIs paying their own expenses are welcome to attend the workshop. Secondary PI/Co-PIs are strongly encouraged to submit the report, so that there is a complete record of projects supported by the IDM program. One Secondary PI/Co-PI per award is cordially invited to attend the workshop. Additional Secondary Co-PIs are welcome to attend the workshop; however, the workshop does not have the funds to pay their expenses. (Secondary PI/Co-PIs are those who receive funding from another primary program and the IDM program is cofunding that award, while Primary PI/Co-PIs receive funding from the IDM Program as the primary program. Note that the PI/Co-PIs of the ITR/IM awards that are IDM primary awards are also Primary PI/Co-PIs.)

Our intention is to reimburse all PIs for their full expenses, and as many Co-PIs as can be accommodated on a first-come basis (one Co-PI per grant likely limit). Currently, our budget is for 121 participants and includes:

Airfare up to $650
hotel up to 3 nights ($139 single/double per night plus tax)
(all meals with the exception of Sunday's dinner are provided at the hotel)

Government attendees will be required to pay their travel expenses and be charged a workshop attendance fee of $75 for one day and $90 for two days to cover workshop meals. All industrial and government invited speakers or panelists may be offered travel, per diem and free workshop attendance. The deadline for attendance registration is August 1. NSF will provide travel and hotel support for the PIs, and for as many Co-PIs as can be accommodated on a first-come basis (one Co-PI per grant likely limit). There is a budget and support limit for IDM'2003, as there was for the previous IDM workshops.

Participants have to arrange for their own hotel and travel accommodations.

Please keep all ORIGINAL receipts relating to travel and hotel accommodations as we will announce an address to send receipts to after the workshop for reimbursement.

PI participants, invited speakers and panelists, and as many Co-PI participants as possible will be reimbursed for the cost of hotel rooms for Sunday and Monday, as well as Saturday for those who get a cheaper rate with a Saturday night stay. The cost of a rental car is not covered. NSF will reimburse up to $38 per day, which breaks down to:

Breakfast $7.50
Lunch $9.50
Dinner $21.00

You may get reimbursed for the cost of the round trip airfare from your point of origin to the Sea-Tac International Airport at the best coach or economy rate available before the IDM'2003 registration deadline of August 1, or the cost for the entire trip including the stop-over in Sea-Tac in order to attend the IDM'2003, whichever is less. In order to process the reimbursement, please send the receipt showing the cost of the whole trip. This would cover situations when somebody gets an extra cheap/free/donated ticket for the whole trip (or gets a ride with a friend), but would want to get reimbursed for the IDM'2003 airfare. Such instances are rare, but they do happen.

In order to receive the IDM rates of $139.00 per night for single occupancy, reservations with the Renaissance Madison Hotel should be done by August 8.


Location:

Located in the heart of Downtown Seattle at Sixth and Madison, The Renaissance Seattle is within a short walk to all major attractions, shopping and commerce areas, including the Waterfront, Pike Place Market, Pacific Place, Westlake Center, Pioneer Square and Safeco Field.

The Renaissance Seattle is 11 miles from Sea-Tac International Airport, 20 minutes by town car or airport shuttle.

Directions to the Hotel:

From Sea-Tac Airport Traveling I-5 Northbound:
Use the Madison Street exit (164), off of I-5, then turn left on Madison Street. The hotel is located on the corner of 6th Avenue and Madison Street. The garage is located on the left side, just past the 6th Avenue traffic light.

From I-5 Southbound:
Travel I-5 south toward Seattle. Use the Union Street off ramp. Continue straight on Union Street until 5th Avenue appears. Proceed left onto 5th Avenue and travel 5 blocks until Marion Street. Turn left and continue up the hill to 6th Avenue. Once you are on 6th Avenue, turn left and proceed to the next corner where you will find the entrance to the Renaissance Seattle.
